The Opportunity:
We are seeking a detail-driven and proactive People & Culture Operations Sr Coordinator to support our teams across the Netherlands, Denmark & Belgium. In this role, you will ensure the efficient delivery of People & Culture Operations, administrative support on payroll, benefits and data management across all three countries.
The ideal candidate brings strong P&C (HR) operations or generalist experience, knowledge of Dutch labour laws, and familiarity with Danish and or Belgian frameworks is highly beneficial. Additionally, Experience or knowledge of HR processes or legislation in other markets, particularly the UK is a plus. This role requires exceptional accuracy, attention to detail, organisational excellence, and strong process improvement mindset.
What Your Impact Will Be:
Employee Lifecycle Administration
- Support the full administrative employee lifecycle (new starters, contractual changes, promotions, leave requests, offboarding).
- Prepare, issue, and track employment contracts, contract amendments, documentation updates, and reference letters.
- Coordinate pre-boarding and onboarding activities, including system set-up and documentation collection.
- Manage offboarding processes such as exit documentation, systems administration, and final correspondence.
- Maintain accurate and compliant employee files, ensuring audit readiness across all markets.
- Update HRIS and People & Culture systems with precision, ensuring data integrity at all times.
- Annual leave administration and reconciliation
- Action health & safety reporting, and sickness monitoring in alignment with local requirements.
People Operations, Payroll & Compliance
- Provide hands-on People & Culture operations and administrative support for NL, DK, BE, and the UK.
- Prepare, validate, and submit payroll inputs, ensuring accuracy and timely delivery across all relevant countries.
- Administer benefits programmes (pension, healthcare, insurances, country-specific benefits) and ensure up-to-date documentation.
- Monitor compliance with Dutch labour laws and contribute to Belgian and Danish regulations and administration. Knowledge of UK HR processes and legislation is a plus
- Support audit requirements, compliance reporting, and the creation of necessary documentation.
- Ensure People & Culture systems, files, and processes meet legal, regulatory, and corporate standards for all relevant markets.
Projects, Process Improvements & Systems
- Contribute to employee engagement/wellbeing initiatives, recognition programmes, and internal communication activities.
- Identify opportunities to streamline, standardise, or automate People & Culture processes across multiple countries.
- Support the implementation of new P&C tools, systems, and process upgrades, including testing, training, and documentation.
- Prepare reports, and data insights to support decision-making and process optimisation.
- Participate in cross-functional project teams to support broader organisational initiatives.
Engagement, Culture & Well-being
- Contribute to employee engagement/wellbeing initiatives, recognition programmes, and internal communication activities
- Assist in organising culture-building, philanthropic, and community activities across the region.
What We’re Looking For:
- Bachelor’s degree or equivalent in HR, Business Administration, or related field is highly desirable.
- 3+ years of experience in People & Culture, HR Operations, or HR administrative roles within an international environment.
- Strong knowledge of Dutch labour laws.
- Experience with UK HR Operations or employment legislation is a plus
- High level of professionalism, integrity, and discretion in handling confidential information.
- Exceptional attention to detail, particularly in documentation, data accuracy, and payroll preparation.
- Excellent organisational skills with the ability to manage multiple tasks accurately in a fast-paced environment.
- Strong analytical and problem-solving skills with a continuous improvement mindset.
- Excellent interpersonal and communication skills.
- Tech-savvy and proficient with HRIS tools and MS Office, experience of Workday is highly desirable
- Fluent in Dutch and English (any other EU languages is a plus)
