Job Title: Tool Engineer/Administrator– Vendor Management
Location: Hyderabad, India
Job Summary: We are seeking an experienced Tools Engineer/Tool Administrator who plays a key role in supporting and administering software asset management (SAM) and vendor management platforms, particularly Flexera and ServiceNow. This role is responsible for configuring, maintaining, and optimizing tools to support software license tracking, compliance, procurement workflows, and vendor performance management. The engineer ensures smooth integration between systems, designs automated workflows, and partners with cross-functional teams to enhance transparency, efficiency, and governance in IT asset and vendor management. The candidate must be willing to work on site 4 days a week in Hyderabad, during US EST time zone.
Key Responsibilities:
Platform Administration (Flexera, ServiceNow, etc.):
- Act as the primary administrator for Flexera One (or FlexNet Manager Suite), ensuring accurate license data ingestion, normalization, and reporting.
- Manage ServiceNow ITAM / ITSM / Vendor Management modules to support software lifecycle, request workflows, vendor onboarding, and contract tracking.
- Maintain tool health by applying patches, updates, and configuration changes according to change management policies.
Tool Integration & Data Flows:
- Design, implement, and maintain integrations between Flexera and ServiceNow, ensuring seamless data flow between asset repositories, procurement modules, and ticketing systems.
- Collaborate with IT and application teams to integrate other data sources (e.g., SCCM, Active Directory, CMDB, financial systems) to enrich SAM and vendor data.
- Troubleshoot data sync and integration issues; maintain integration schedules and logs.
Workflow Design & Automation:
- Create and optimize automated workflows in ServiceNow for license requests, approvals, renewals, and vendor onboarding.
- Implement rule-based alerts for license threshold breaches, contract expirations, audit triggers, etc.
- Configure dashboards and reporting automation for license usage, vendor compliance, and renewal timelines.
Vendor & License Lifecycle Support:
- Support VMO and SAM teams in tracking software entitlements, license usage, and compliance metrics.
- Assist with onboarding and monitoring of vendor-related tool workflows (performance tracking, SLA alerts, vendor scoring mechanisms).
- Work closely with procurement, legal, and finance teams to ensure all relevant licensing and contractual data is accurately reflected in tools.
Data Quality & Governance:
- Monitor and improve data quality across systems; develop and enforce data standards and governance policies.
- Perform data validation, cleansing, and normalization routines.
- Conduct periodic audits of license and contract data to ensure consistency and accuracy.
Reporting & Analytics:
- Build and manage custom reports and dashboards in Flexera and ServiceNow to support vendor management decisions.
- Provide insights into license consumption trends, cost optimization opportunities, and vendor risk indicators.
- Deliver scheduled and ad hoc reports for audits, executive reviews, and compliance assessments.
Continuous Improvement & Support:
- Serve as a subject matter expert (SME) for tool capabilities, staying current with platform updates and industry trends.
- Participate in internal tool roadmap planning and enhancement initiatives.
- Provide Tier 2/3 support for tool-related incidents and service requests.
Qualifications:
Education & Experience:
- Bachelor’s degree in Computer Science, Information Systems, Engineering, or related field.
- 3–6 years of experience in IT tools administration, with a focus on SAM or ITAM tools (Flexera, ServiceNow, etc.).
- Experience working within a Vendor Management Office or IT Asset Management (ITAM) function is a strong plus.
- Experience with systems integration, data transformation, and API usage preferred.
Technical Skills:
- Flexera One / FlexNet Manager administration experience.
- ServiceNow configuration and workflow development (Service Catalog, Flow Designer, Business Rules).
- Proficiency in PowerShell, JavaScript, SQL, or scripting languages used for integrations and automation.
- Understanding of ITIL, SAM/ITAM best practices, and vendor lifecycle management.
- Familiarity with CMDB structures, discovery tools (like SCCM, Tanium), and license types (SaaS, perpetual, subscription).
Tools & Technologies:
- Flexera One, FlexNet Manager Suite
- ServiceNow ITAM / ITSM / Vendor Risk Management modules
- API integrations, REST/SOAP services
- IT Asset Discovery tools (e.g., SCCM, JAMF, Tanium)
- Power BI, Tableau, or SNOW Performance Analytics for dashboards
